Multi-System Integration for Data Privacy Management
Design and coordination of a multi-system integration architecture to centralize data privacy-relevant information from disconnected enterprise tools into OneTrust.
Manufacturing Client
2021 - 2023
Client Description
A global German manufacturing company, listed in the DAX 50 ESG, producing process technologies and components for food, beverage, and pharmaceutical industries. The client uses OneTrust to manage data privacy but struggled with scattered source systems containing essential compliance data.
Problem
Fragmented Data Across Tools Preventing Privacy Governance at Scale
The client's data privacy office needed a unified view of assets, processes, and vendors from a compliance perspective. However, critical information was spread across tools such as SAP Signavio (processes), ServiceNow (assets), and SAP Ariba (vendors), with no existing integrations into OneTrust. This fragmentation led to manual work, data duplication, and governance risks due to outdated or incomplete records in OneTrust.
Solution
Architecture and Coordination of End-to-End Integration Flows
An integration concept was created to enable the transfer of key compliance-relevant data from multiple source systems into OneTrust. This included the definition of interface specifications such as field mappings, integration triggers, and error-handling logic. Workshops were conducted with stakeholders from business and IT to align system owners with data privacy requirements. Following the conceptual phase, technical project management was assumed for the implementation of the Signavio–OneTrust interface. A development team was guided through build, test, and deployment to ensure secure and reliable data exchange.
Technologies & Frameworks
Enterprise Privacy Integration with OneTrust, SAP, and ServiceNow
OneTrust – served as the target platform for centralized privacy and compliance data
SAP Signavio – source system for process mapping and ownership metadata
ServiceNow – source system for asset documentation and IT infrastructure data
SAP Ariba – source for vendor master data used in risk and contract workflows
REST APIs – used to design data flows and mappings between systems
Excel & Miro – used for interface planning, field mapping workshops, and stakeholder collaboration
